Freelance Invoice Template UK: What to Include

UK freelance invoices have specific requirements that differ from the US and other countries — particularly around VAT, company numbers, and HMRC expectations. Here's exactly what to include whether you're a sole trader, limited company, or VAT-registered freelancer.

VAT invoices: what HMRC requires

If you're VAT registered (threshold: £90,000 turnover in a rolling 12-month period as of 2026), every invoice to a VAT-registered business must be a valid VAT invoice. HMRC requires:

The words 'VAT Invoice' clearly on the document

A regular invoice marked with VAT amounts isn't sufficient — it must say 'VAT Invoice'.

Your VAT registration number

Format: GB followed by 9 digits (e.g. GB123456789).

Tax point (or 'time of supply')

Usually the invoice date, but can differ for deposits or continuous services.

Description of goods/services

Must be specific enough for HMRC to confirm the VAT treatment is correct.

Net amount (excluding VAT)

The amount before VAT is applied.

VAT rate and VAT amount

Show the rate (e.g. 20%) and the amount (e.g. £200). If multiple rates apply, itemise each.

Gross total (including VAT)

The final amount the client pays.

Do I need a company number on my invoice?

Only if you're a registered limited company (Ltd or LLP). Under the Companies Act 2006, UK limited companies must show their company registration number on all business letters and invoices.

Sole traders do not have a company number and do not need one on invoices. Your UTR (Unique Taxpayer Reference) is private — you don't need to include it on invoices unless a client specifically requests it for their records.

UK invoice number requirements

HMRC requires that invoices use “a sequential number based on one or more series which uniquely identifies the document.” In plain English:

  • • Numbers must be sequential — no gaps, no skipping
  • • Each invoice must have a unique number
  • • You cannot go back and insert invoices with earlier numbers
  • • If you cancel an invoice, issue a credit note — don't delete and re-number
  • • Common formats: INV-001, 2026-001, or simply 001

Payment terms for UK freelancers

Under the Late Payment of Commercial Debts (Interest) Act 1998, UK freelancers have the legal right to charge statutory interest on late payments without it being written into the contract. Specifically:

  • • Statutory interest rate: 8% above the Bank of England base rate
  • • Compensation for recovery costs: £40–£100 depending on debt size
  • • This applies automatically — you don't need to include it in your invoice terms

Recommended payment terms for UK freelancers:

  • Small jobs / individuals: Due on receipt or Net 7
  • Standard business clients: Net 14 or Net 30
  • Large corporates: Net 30 is common; push back on Net 60 or Net 90
