5 invoicing rules every graphic designer needs

Specify revision rounds in the line item
Write '3 concepts, 2 revision rounds' not just 'logo design'. This is your reference if the client asks for a 5th revision.
Hold files until payment clears
Add a line: 'Final files released upon receipt of full payment.' This is standard and protects you from delivering work and never getting paid.
Invoice a 50% deposit upfront for large projects
Anything over $1,000 should have a deposit invoice before work starts. Send invoice 1 of 2 at kickoff, invoice 2 of 2 at delivery.
Separate design from print costs
Keep artwork fees and print/production costs as distinct line items. Clients can then approve design independently and choose their own print vendor.
State file format deliverables explicitly
List what file types are included: 'AI, EPS, PNG (transparent), PDF (print-ready)'. This avoids 'but I need a different format' requests after payment.

Graphic design invoice FAQ

Should I charge hourly or per project as a graphic designer?

Project-based pricing is generally better for clients (predictable cost) and for you (no need to track hours). Use hourly for open-ended retainers or projects where scope is genuinely unclear.

Do I need to include usage rights on my invoice?

It's good practice to note it: 'Commercial usage rights per signed brief' or 'Single-use print rights only'. Detailed licensing terms go in your contract — the invoice just references them.

How do I invoice for revisions beyond what's included?

Add a line item: 'Additional revision round (beyond 2 included) — $150'. Charge this before doing the work. Having a clear rate prevents awkward conversations.

What's the best invoice format for graphic designers?

PDF is the only acceptable format. Never send a Word .docx or editable file — it can be modified. A PDF generator (like SwiftBill) creates professional, tamper-proof invoices in 60 seconds.
