Client name

What's included in each package
For packaged programs, list what's included: number of sessions, session length, email support access, worksheets or workbooks. This prevents scope creep and helps clients understand the value.
Rate or package price
Per-session rate, monthly retainer fee, or full program price. For installment plans, show the installment schedule and which payment this invoice covers.
Cancellation and rescheduling policy
Note your policy on the invoice: '24-hour notice required for rescheduling. Late cancellations may be charged at 50% of session fee.' This sets clear expectations without an awkward conversation.
Payment terms and methods
Due on receipt for session-by-session billing; Net 7 for packaged programs. Accept PayPal, Stripe, Venmo, Zelle, or bank transfer. Many coaches use payment links — note yours on the invoice.

5 invoicing rules for coaches
Collect payment before the first session
Session-by-session billing leaves money on the table and creates an awkward dynamic. Require payment before the first session (or full package upfront with installment options). Clients who've paid are more committed.
Use package pricing, not hourly
Packaging your service ($2,700 for 12 sessions) feels more valuable than $225/session × 12 = $2,700. It also protects your income — if a client cancels session 8, you've already been paid.
Define what happens when a client goes silent
Some clients disappear after a few sessions. Your contract (and invoice) should state: 'Sessions must be used within 6 months of purchase. No refunds after the program begins.' Protect yourself upfront.
For corporate clients, get a PO number before you start
Large companies require a purchase order before their AP will process your invoice. Ask for the PO number during contracting — not after you've delivered 6 sessions. Reference the PO number on your invoice.
Automate recurring billing where possible
Monthly retainer clients should be on auto-pay. Set it up during onboarding and note 'automatic payment on the 1st of each month' on your invoice. It removes friction and ensures you get paid without chasing.
