Your name and cosmetology/esthetics license
Include your license number if applicable in your state. Many venues and production companies require proof of licensure before they'll hire you.
Client name and event type
Name the client and the event: 'Bridal makeup — Wedding of Sofia & James, June 28' or 'Editorial shoot — Nova Magazine Spring 2026.' Event details help clients categorize expenses.
Invoice number and date
Sequential numbering. For bridal clients, include the wedding date on every invoice — they often reference it when reconciling vendor payments.
Services itemized by person
For bridal and event work, list each person and the service performed: 'Bride — bridal glam + touch-up kit, Bridesmaid 1 — soft glam.' Don't bundle all services into one line.
Kit fee
A kit fee covers your professional products, tools, and consumables. $100–$250/day is standard in editorial and film. List it as its own line item.
Travel / on-location fee
If you travel to the client, charge a travel fee: flat rate, per-mile, or hourly portal-to-portal. Note it clearly: 'On-location fee — Ritz-Carlton (12 miles): $45.'
Trial / preview session (separate invoice or line)
Bridal trials are often booked months before the wedding. You can invoice them separately or as a line item on the wedding day invoice with a note.
Deposit received and balance due
Show the deposit you collected at booking and deduct it clearly. This prevents confusion on the wedding day about what's owed.

5 invoicing rules for makeup artists
Always charge a kit fee
Your professional kit represents thousands of dollars in product investment. A kit fee ($75–$200 depending on the job) is standard and expected in editorial and event work. Never absorb this cost into your day rate.
Require a deposit to secure wedding dates
A 25–50% non-refundable deposit is industry standard for bridal bookings. It's your protection against date holds and last-minute cancellations. Invoice it immediately when they book — the deposit locks in the date.
Invoice trials separately
A bridal trial is a separate service from the wedding day. Invoice it as a standalone service, paid on the day of the trial. This establishes your billing relationship and prevents trials from being 'absorbed' into the wedding day rate.
Charge portal-to-portal for editorial work
In commercial and editorial, travel time is billable from the moment you leave your home to when you return. 'Portal to portal' is the industry term — agencies expect it. Include travel time at your hourly rate as a separate line item.
Get overtime rates in writing before the shoot
Editorial and film shoots run over. Agree on your overtime rate (typically 1.5× hourly after 8 hours, 2× after 12) in your contract and confirm it in your pre-shoot confirmation email. Then invoice it without apology — it's in your contract.
Frequently asked questions
What's a reasonable day rate for a makeup artist in 2026?↓
Day rates vary by market and experience. New artists: $300–$500/day. Mid-level: $500–$900/day. Senior editorial/commercial artists: $900–$2,000+/day. Bridal rates are separate and usually structured per-person rather than day rate.
Do I need a license to invoice as a makeup artist?↓
It depends on your state. Many states require a cosmetology or esthetics license to apply makeup for compensation. Check your state's cosmetology board. For editorial and film work, requirements vary. Always carry your license to shoots.
How do I handle a last-minute cancellation on a bridal booking?↓
Your non-refundable deposit is your protection. For cancellations within 30 days of the wedding, many MUAs charge 50–100% of the full booking fee. State your cancellation policy clearly in your contract and booking confirmation. Invoice the cancellation fee promptly in writing.
Should I charge sales tax on makeup services?↓
Most states treat personal service labor as non-taxable but tax retail product sales. If you're selling products separately, collect and remit sales tax on those. If you provide products as part of your service (which most MUAs do), rules vary by state. Consult your state's revenue department.
How do I invoice a production company for film/TV work?↓
Production companies typically require: your full legal name or business name, your agent's information (if you have one), the production name and episode number (for TV), a W-9 on file, and reference to the deal memo they issued. Bill weekly during production. Payment processing can take 30–60 days through production accounting.
