5 invoicing rules every social media manager needs

Always separate your fee from ad spend — in writing
Your management fee and your client's ad spend are two different things. Invoice your management fee. The ad spend should go directly on the client's card via their ad account. If you're fronting ad spend, document it explicitly as a pass-through reimbursement with receipts.
Invoice your retainer on the 1st — before the month of work begins
Retainers should be paid upfront. Send your invoice on the 25th–28th of the prior month, due on the 1st. If the retainer isn't paid by the 5th, pause work. This is standard practice and protects you from working a full month and then chasing payment.
Define 'included posts' as a number in the contract and on the invoice
Write '20 posts/month (Instagram + LinkedIn, 4 weeks)' — not just 'social media management'. When a client asks for more, point to the invoice: you can add posts at $X each, or upgrade their retainer to include them.
Charge for strategy calls beyond what's included
Many SMMs give away hours of strategy calls as part of their retainer. If calls exceed your included time, bill them: 'Strategy session — 1.5 hrs @ $120/hr — $180'. Document call time with a brief note of what was covered.
Send a monthly deliverables summary with every invoice
Attach or link to a one-page summary of what you delivered that month: post count, engagement highlights, growth metrics. Clients who can see the value of your work pay faster and stay longer.

Should I invoice for ad spend management separately from ad spend?

Always. Your ad management fee (your labor) and the actual ad spend (the client's money) are completely separate. Invoice your management fee. Ad spend should either go directly on the client's card, or be reimbursed via a separate line item with receipts attached.

How do I handle a client who wants to pause their retainer?

Cover this in your contract, not your invoice. A common clause: 30-day written notice required to pause or cancel. If they pause mid-month, invoice for the days worked plus any content already created. Don't offer refunds for work already in progress.

What payment terms work best for social media management?

Due on receipt or Net 7 at the start of each month. Net 30 is too slow for a service you're actively delivering — you'd be finishing a month's work before the first invoice was even due. Retainers should be prepaid.

How do I invoice a client for a one-time campaign vs. an ongoing retainer?

Campaign invoices work like project invoices: 50% upfront, 50% at delivery (or on milestones for larger campaigns). Retainer invoices are sent monthly before the work period begins. Keep them as separate invoices — don't mix campaign fees into a retainer invoice.
