What to include on a UX designer invoice

Your name and portfolio URL

Your full name, business name (if applicable), email, and portfolio URL. UX clients almost always want to see your portfolio before they pay — including the link makes it easy to verify your work.

Client name and project name

The company name and a clear project identifier: 'Northfield App Redesign — iOS Onboarding Flow' or 'Nova Health — UX Audit Q2 2026.' Project names help clients match your invoice to internal budgets.

Invoice number and billing period

Sequential numbering. For phased projects, include the phase: INV-023-P2 (invoice 23, phase 2). For retainers, include the billing period: 'June 2026.'

Deliverables, not just hours

UX work is deliverable-based, even when you bill hourly. State what you created: 'User interview synthesis report,' 'Mobile wireframe set (12 screens),' 'High-fidelity prototype — Figma.' This justifies your rate to non-designers in the approval chain.

Hours per deliverable (for hourly billing)

If billing hourly, break hours out by deliverable or task. 'User research — 8 hrs, Analysis & synthesis — 6 hrs, Affinity mapping — 4 hrs' tells a clearer story than '18 hours of UX research.'

Tools and platform fees (if passed through)

Maze, UserTesting, Optimal Workshop, and other research tools have per-study fees. Pass these through at cost as separate line items.

Intellectual property / usage rights

Note what rights the client receives: 'All original deliverables transfer to client upon full payment.' This protects you legally and is standard in creative professional invoices.

Payment terms

Net 15 or Net 30 for project work. Net 30 for corporate/enterprise clients. Include your payment methods — Stripe, PayPal, bank transfer, Wise for international clients.

5 invoicing rules for UX designers

Describe deliverables, not just hours

Product managers and finance teams approve your invoice — not your UX stakeholder. 'User research synthesis report + 3 personas' is more compelling than '18 hours.' Even when billing hourly, label what each block of hours produced.

Collect 50% upfront on project work

Project-based engagements have a nasty habit of scope creep and late payments. A 50% deposit at project start covers your time investment and demonstrates client commitment. Milestone billing (pay before each phase begins) is even better.

3.

Define revision rounds before you start

Every UX engagement should specify how many rounds of revisions are included. '2 rounds of revisions on wireframes' on the invoice prevents unlimited feedback loops. Additional rounds are billed at your hourly rate.

Protect IP until payment clears

State explicitly: 'All deliverables, source files, and intellectual property transfer to client upon receipt of full payment.' Retain Figma file access until the final invoice is paid. This gives you leverage.

Bill research tool costs as line items

Maze, UserZoom, Hotjar, and other tools cost real money. Pass through research tool costs at cost (or with a 10% handling fee). Embedding tool costs in your hourly rate is less transparent and can make your rate appear inflated.

What's a good hourly rate for freelance UX design in 2026?

Mid-level UX generalists typically charge $100–$175/hr. Senior UX designers with a specialty (mobile, enterprise SaaS, fintech) charge $150–$250/hr. UX researchers bill $125–$200/hr. If you're being asked to do end-to-end product design (UX + UI), rates trend higher. US-based rates; adjust for your market.

Should I charge hourly or fixed-price for UX projects?

Fixed-price (milestone billing) works well for defined projects with clear deliverables — a feature redesign, an onboarding flow, a design sprint. Hourly works better for ongoing discovery work or retainers where scope evolves. Many freelancers use both: fixed-price for the defined phases, hourly for discovery.

Do I need to send source files on every invoice?

Source file delivery is a contractual term, not an invoice question — your contract should specify what files the client receives and when. A common approach: Figma read-only access during the project, source files transferred upon final payment. Note this on the final invoice.

What's a typical payment schedule for a UX project?

50% deposit before work begins, 50% on delivery is the most common structure for smaller projects. For larger engagements: 30% deposit, 30% at design phase completion, 40% at final handoff. Milestone billing tied to deliverables keeps both parties accountable.

How do I handle a client who wants 'just a few more changes' after the project is done?

This is a scope creep situation. Your contract and invoice should define what 'complete' means and how many revision rounds are included. Once those rounds are exhausted, additional changes are billed at your hourly rate. Keep all change requests in writing — email is fine — and reference them on a change order invoice.
